What Are Tokens?

Tokens are your prepaid usage credits on ZedCarHire. Instead of a monthly subscription fee, you pay only for the hires you actually create — a small commission is deducted from your token balance each time a new vehicle hire starts.

The simple rule: 1 token = 1 ZMW

If a hire costs 600 tokens in commission, that is K600. Tokens are just ZMW-denominated credits — easy to track and understand.

Key things to know

On a Free Trial?

Your account starts with 10,000 free tokens at zero commission. Use them to try the platform — any tokens left when your trial ends carry straight over to your first paid plan.

Tip: Watch the utilisation bar

The progress bar on the Token Account page shows what percentage of your credited tokens you have used. Once it passes 80% you will start receiving email reminders — a good time to think about topping up.

How Commission Charges Work

Every time you create a new hire in the system, a commission is calculated and deducted from your token balance immediately. The formula is straightforward:

Tokens charged = Daily Rate × Commission % × Hire Days

Plan commission rates:
  Trial (Free) → 0% commission (free tokens provided)
  Starter Plan → 2% commission
  Growth Plan → 4% commission
  Premium Plan → 4% commission

Charges are upfront

Tokens are deducted when the hire is created, not when it ends. If a hire is cancelled, please contact support — refunds are handled manually by your account manager.

What if my balance is too low for a hire?

If your token balance cannot cover the commission for a new hire, the system will block you from creating that hire and display an error. You will need to top up your token balance before proceeding. All existing active hires continue without interruption — only new hire creation is blocked.

Before loading tokens, use the Token Calculator on your Token Account page to estimate how many tokens a specific hire will consume. This helps you top up the right amount.

How to Top Up Your Token Balance

Topping up is quick and straightforward. Follow these steps:

  1. Decide how many tokens you need

    Use the Token Calculator on your Token Account page to estimate upcoming hire costs. 1 token = K1, so K5,000 worth of tokens = 5,000 tokens loaded to your account.

  2. Make your payment

    Transfer the ZMW amount to ZedCarHire via mobile money (MTN/Airtel), bank transfer, or other accepted methods. Payment details are shown on the Token Account page under "Submit Payment Proof".

  3. Take a screenshot or photo of the payment confirmation

    This is your proof of payment. It can be a mobile money receipt, bank confirmation SMS, or a transaction screenshot — anything that shows the amount and reference.

  4. Submit your proof on the Token Account page

    Go to Token Account → Submit Payment Proof. Enter the amount you paid, upload your proof image, and click Submit. You will receive an on-screen confirmation.

  5. Wait for approval Usually within 2–4 hours

    Our team reviews your proof and credits your account. You will receive an email confirmation once tokens have been added. Your balance updates immediately upon approval.

Top up before you run low

We send email reminders when your balance drops below 20% (warning) and again below 5% (critical). Do not wait for the critical alert — top up at the warning stage to avoid any disruption to hire creation.

Can I submit multiple top-ups?

Yes. You can have a pending top-up approval while still creating hires with your existing balance. Multiple top-up submissions are allowed, and each is processed independently.

Reading Your Token Statement

Your Token Statement (Menu → Token Statement) shows a full month-by-month record of every token movement on your account.

Opening and closing balances

The statement shows your opening balance (what you had at the start of the month) and your closing balance (what you had at month-end). Use the month selector to switch between months.

Printing your statement

Use the Print button on the Token Statement page to generate a clean, printer-friendly version. This is useful for internal records or if your accountant needs a copy.

Understanding Dashboard Alerts

ZedCarHire will warn you as your token balance gets low, both on-screen (banner at the top of every page) and by email. Here is what each alert means and what to do:

✓ Balance Healthy (above 20% remaining)  — No action needed. Your account is in good standing.
⚠ Low Balance Warning (below 20% remaining)  — Consider topping up soon. You will receive a reminder email. Hires are still allowed.
🚨 Critical Balance (below 5% remaining)  — Top up urgently. Daily email reminders begin. New hire creation may be blocked soon.
🔒 Balance Depleted (zero or negative)  — New hire creation is blocked until you top up. All other features remain accessible.

Reminder emails go to the email address registered for your account. Make sure it is current and monitored.

Subscription banner

The coloured banner at the very top of your dashboard shows your current plan and token status at a glance. On a trial, it shows your remaining trial tokens and the percentage used. On a paid plan, it confirms your plan is active and links to your Token Account for quick access.

Using the Token Calculator

The Token Calculator is available on your Token Account page. Use it to estimate how many tokens a specific hire will consume before you create it — handy for planning top-ups.

  1. Enter the vehicle's daily hire rate

    Type the daily rate in ZMW (e.g., K650). This is the amount the customer pays per day.

  2. Enter the number of hire days

    How many days is the hire for? (e.g., 7 days)

  3. Read the result

    The calculator instantly shows how many tokens that hire will consume. Example: K650/day × 4% × 7 days = 182 tokens.

Add up estimates for all expected hires to get a total monthly token budget. Then compare against your current balance to know exactly how much to top up.

The rate shown in the calculator (e.g., 4%) matches your current plan. If you change plans, the rate updates automatically.

Frequently Asked Questions

Do tokens expire if I don't use them?
No. Tokens never expire. Your balance carries forward indefinitely regardless of how long it sits idle. You can load tokens today and use them a year from now — they will still be there.
What happens when I upgrade or change plans?
Your entire token balance carries over to the new plan. A "migration" entry will appear in your token statement confirming the carry-over. The only thing that changes is the commission rate applied to future hires.
Can I still access my data if my balance reaches zero?
Yes. A zero balance only blocks the creation of new hires. All existing hires continue normally, and you retain full access to your dashboard, vehicles, customers, reports, and history. Top up to resume new hire creation.
How long does a top-up take to be approved?
Most top-ups are reviewed and approved within 2–4 hours during business hours. You will receive an email confirmation as soon as tokens have been credited. During busy periods it may take up to one business day.
Can I get a refund if I cancel a hire?
Tokens are deducted at hire creation. If a hire is cancelled, please contact your account manager or email support@zedcarhire.com — refunds are handled case by case and credited back to your token balance manually.
Is there a minimum top-up amount?
There is no strict minimum, but we recommend topping up in amounts that will comfortably cover several weeks of hires to reduce the overhead of frequent small top-ups. Use the Token Calculator to estimate your typical weekly or monthly token consumption.
Why did my balance drop more than I expected?
Check your Token Statement for a full list of deductions. Each hire shows the exact amount charged. Remember — commission is based on the daily rate × commission % × hire days, so longer or higher-rate hires cost more tokens. If you believe a charge is incorrect, contact support with the hire reference number.
Why am I on a Free Trial getting 0% commission?
During your 30-day Free Trial, ZedCarHire charges zero commission — you get 10,000 free tokens to explore the platform at no cost. This lets you see exactly how the system works before committing to a paid plan.
What payment methods are accepted for top-ups?
ZedCarHire accepts MTN Mobile Money, Airtel Money, and bank transfer (Zambian banks). Payment details are shown on the Token Account page. After paying, upload your proof of payment through the same page to start the approval process.
I submitted proof but haven't heard back. What should I do?
If it has been more than 4 hours during business hours, please email support@zedcarhire.com with your company name and the amount submitted. Our team will investigate promptly.
