The Process

How ZedCarHire works.

From "I need a car" to "vehicle returned" — here's exactly what happens, who does what, and how we keep it safe for everyone. No hidden steps, no fine print.

The Big Picture

A hire from start to finish

Every hire on ZedCarHire follows the same 7-step flow — designed so both drivers and companies always know what's next, and there's a paper trail at every step.

1. Sign up Driver or company
2. Verify NRC + DL on file
3. Find car Browse marketplace
4. Confirm Company approves
5. Drive Vehicle handed over
6. Return Vehicle back, settled
7. Rate Both sides
The Detail

Step-by-step — from your side

The same hire looks slightly different depending on whether you're the renter or the company. Pick a side to see your exact journey.

1

Create your account

Sign up at zedcarhire.com with your name, email and phone. You'll get an account approval email within 24 hours.

Use the same name that's on your NRC — it speeds up verification later.
3

Browse vehicles

Search by city, vehicle type, price, or transmission. Each listing shows the daily rate, vehicle photos, and the car hire company behind it.

4

Send your booking

Click the car you want and submit a booking request. The company sees your verified profile, your past ratings, and your dates.

5

Get confirmed

The company reviews your request, contacts you to agree on pickup and any deposit, and confirms the booking. You'll get a receipt by email.

6

Pick up the vehicle

Show your NRC and licence at handover. The company records the start mileage and condition. You're free to drive.

7

Return on time

Bring the car back at the agreed date and time, in the same condition. Settle any balance owing. The company processes your return on the platform.

Returning on time and clean is the #1 thing that builds your driver score.
Both sides at once

Who does what — at the same time

Each step happens in parallel for both audiences. Here's the same flow from both angles so you understand exactly what's happening on the other side.

Renter sees

  • "Booking submitted, waiting for company"
  • "Booking confirmed — collect the car at [time]"
  • "Vehicle handed over — drive safe"
  • "Hire ends in 2 days — please return on time"
  • "Hire complete — please rate the company"
  • "You received a 5-star rating from [Company]"

Company sees

  • "New booking request from [Verified Renter]"
  • "Hire confirmed — vehicle blocked from other bookings"
  • "Vehicle currently on hire — [days] days remaining"
  • "Hire due tomorrow — automatic reminder sent to renter"
  • "Vehicle returned — confirm closing mileage and balance"
  • "Please rate this renter"
Safety Net

What happens if something goes wrong

We can't prevent every issue, but the platform is designed so problems are visible, recoverable, and traceable.

Renter is late returning

The system automatically marks the hire as overdue and sends reminder emails. The company can charge extra-day fees during return processing. The late return is reflected in the punctuality rating.

Vehicle returned damaged

The company records the condition at return and can apply adjustments. The condition rating goes against the renter's profile — visible to other companies for future bookings.

Balance unpaid at return

The system tracks the outstanding balance and an agreed commitment date. The hire stays on the company's debtor list until paid. Persistent non-payment hurts the renter's payment rating.

Renter doesn't show up

If a confirmed booking is a no-show, the company notes it on return processing. Repeated no-shows lower the renter's overall rating and may result in suspension from the platform.

Disputes

Either side can flag a hire to ZedCarHire support. We review the audit trail (hire-out form, return form, ratings, comments) and mediate. Bad-faith reviews can be removed.

Identity fraud

Verified profiles are checked against NRC and driver's licence images. Companies can spot inconsistencies before handing over keys. Suspected fraud should be reported immediately to ZedCarHire support.

Common questions

Frequently asked

Does ZedCarHire take payment for me?

No — payments happen directly between the renter and the car hire company (mobile money, cash, bank transfer, whatever they agree on). ZedCarHire is the booking and management layer. Companies record payment status in their dashboard but the platform doesn't hold funds.

Do I have to be verified to book a car?

Not strictly — but unverified renters get fewer approvals. Most companies prefer Silver or Gold badges. We strongly recommend completing verification (it takes 5 minutes and 1–2 business days for review).

Can a company refuse my booking?

Yes. Companies decide who they hire to. They look at your verification status, age, ratings, and comments from previous companies. The best way to get more approvals is to complete your profile and build positive ratings.

What happens to my data if I delete my account?

Your personal details are removed from the platform but completed hires and ratings remain anonymously linked to the hire records (companies need them for accounting). You can request full data deletion by emailing support.

Can a company list a vehicle they don't own?

Yes — the platform supports both owned and outsourced vehicles. The company is still responsible for the hire and customer experience. The owner gets paid out via the company's monthly settlement.

Are walk-in or phone bookings supported?

Absolutely. Companies can record any hire in their dashboard — whether the booking came through the marketplace, by phone, in person, or by repeat customer. The KYC and rating system only kicks in when the customer also has a portal account.

How do I report a problem with a hire?

Email support@zedcarhire.com with the hire reference number (it's on every booking confirmation as ZCH-####). We respond within one business day.
