What we ask for

Documents we need

We only ask for documents that car hire companies would need to see anyway at vehicle pickup. Submit once, share automatically with every company you book through.

NRC (front & back)

Confirms your identity. Most car hire companies require this at pickup anyway.

Driver's Licence

Front + back, plus expiry date. We block expired licences from booking automatically.

Profile photo

So companies recognise you at pickup. Recent face photo, no sunglasses.

Proof of residence (optional)

Utility bill or lease. Strengthens trust on high-value vehicles or long hires.

Emergency contact

Someone to reach in case of accident. Only shared if there's a genuine emergency.

Date of birth

Most car hire companies require renters to be 21+. We flag underage accounts.

What we do — and don't — do with your documents

  • We do store your documents on encrypted servers, accessible only to ZedCarHire's verification team.
  • We do show your verification badge to car hire companies during a booking — but the actual document images are only shared at vehicle pickup with that specific company.
  • We do let you delete your documents at any time from your profile page.
  • We don't sell or share your data with third parties for marketing.
  • We don't show your document images publicly anywhere on the platform.
  • We don't use your data for purposes other than verifying you for hires.

How ratings work

After every completed hire, both sides get prompted to rate each other. Ratings are visible only to logged-in companies (for renters) and only on our marketplace listings (for companies).

Would they hire to this person again? (1-5 stars)

Punctuality

Was the vehicle returned on the agreed date and time? Late returns drag this down.

Vehicle care

Was the car returned clean and undamaged? Reflects how well it was treated.

Payment

Did they pay the agreed amount on time? Outstanding balances drag this down.

Was the vehicle clean, fueled, and roadworthy? Mechanical issues drag this down.

Communication

Were they responsive and clear about pickup/return? Captured in your overall comment.

How to build a strong reputation

Ratings stick around. The good news: a few simple habits move the needle fast.

If you're a renter

Return on time, every time

The single biggest factor in your punctuality score. If you'll be late, contact the company before the deadline — they can extend the hire on the system.

Hand back a clean car

Take 10 minutes to vacuum and wipe the dashboard. It costs nothing and makes a real impression. Companies remember it.

Settle the balance promptly

Pay any outstanding balance during return processing if you can. Lingering debt visibly affects your payment rating.

Communicate proactively

Spotted a problem with the car mid-hire? Tell the company. Issues that get reported quickly are usually no big deal — issues that get hidden often become disputes.

If you're a hire company

Hand over a clean, fuelled car

It's the equivalent of a clean handback for renters. The little extras — air freshener, full tank, clean glass — earn you 5-star reviews.

Be transparent about charges

Lay out daily rate, deposit, late fees and damage rules in writing before pickup. Surprises are the #1 cause of bad reviews.

Respond to messages quickly

Renters value a fast yes/no over a slow yes. Even a "checking, will revert in 30 mins" beats silence.

Rate fairly, every time

Always submit a rating after a return — it builds the trust ecosystem for everyone. Be honest but fair: a rude one-off shouldn't be a 1-star.

What to avoid

Lying on documents

Doctored NRC or licence photos are a permanent ban from the platform. Our team can spot edits — don't risk it.

Off-platform deals

If a company offers to skip the platform "for a discount", that's a red flag. You lose the verification, ratings, and dispute support.

Retaliatory ratings

Don't use ratings to get even after a disagreement. Genuinely unfair reviews can be reviewed and removed by ZedCarHire support.

How long does verification take?

1–2 business days. We review submitted documents manually to make sure they're real, clear, and match the account holder. You'll get an email when the decision is made.

What if my documents are rejected?

We'll email you with the specific reason (e.g. "blurry NRC photo", "name doesn't match"). Fix it, re-upload from your profile page, and we'll review again.

Can I see my ratings?

Yes — log in to your profile to see your overall rating and the comments left by hire companies. Old comments stay on file as a track record.

Are ratings public?

No. Ratings are visible only to logged-in companies (for renters) and only on company marketplace listings (for companies). They are not indexed by search engines or shown publicly to non-users.

Can a bad review be removed?

Genuine reviews — including critical ones — stay on file. But reviews that are clearly retaliatory, contain abusive language, or violate the terms of service can be removed. Email support@zedcarhire.com with the hire reference.

Can I rate without hiring?

No. Ratings are tied to a completed and returned hire — that's how we keep them honest. No fake reviews, no rating bombs.

What if I forget to rate?

You can rate any time from your profile page (renters) or hire history (companies) for up to 30 days after the hire was returned. After that, the prompt closes.

Do my old ratings ever expire or reset?

No — ratings are permanent. But the average rating shown on your profile is computed across all your hires, so a single bad rating early on gets less weight as you build up more hires.

Why is the minimum age 21?

It's the age most Zambian car hire companies require for their insurance to cover the driver. We don't enforce it as a hard block — you can still hold an account — but companies may decline bookings from under-21 renters.
